Start with the week, not the tools
We walk through where the hours actually go before proposing anything. The first automation is usually the dullest, most repeated task — because that is where the time is.
AI only where it earns its place
Plenty of steps need nothing more than a rule and a reliable connection. AI comes in for reading messy documents, drafting replies and classifying requests — the parts rules handle badly.

Anything that sends money, contacts a customer or changes a record of record pauses for a person. The workflow prepares the work; you press the button.
Logged, so you can check
Every run leaves a trail: what triggered it, what it did, what it proposed, who approved. When something looks wrong, you can find out why rather than guess.
What we typically automate
- Invoice chasing. Overdue invoices are tracked and reminders drafted on a sensible schedule, with your approval on anything you would rather send personally.
- Lead routing and enrichment. New enquiries are tidied, matched against your CRM, given the context you would otherwise look up by hand, and sent to the right person.
- Support first responses. Requests are classified and a reply drafted with the relevant details attached — for your team to approve or rewrite, never sent on its own.
- Weekly reporting packs. Figures are pulled from your accounting, CRM and operational systems into the report you assemble by hand, ready on the morning you need it.
- Document intake into structured data. Invoices, purchase orders, delivery notes and forms are read, turned into consistent records, and queued for a quick check.
- Stock and inventory alerts. Levels are watched against your own thresholds and reorder points, so the alert reaches a person while there is still time to act.
Small-business friendly, enterprise-grade habits
Scope is right-sized to the business in front of us. A ten-person company does not need a programme of work; it needs two or three workflows that quietly remove a day of admin a month, delivered without drama.
What does not change is how it is built. The same audit trails, credential handling, error alerting and written documentation we apply to enterprise work apply here — a workflow nobody understands is a liability at any size. You own the workflows, the accounts and the documentation from day one.
What it costs
Automation projects are usually the smallest pieces of work we take on. They start with one workflow rather than a platform, which keeps the first invoice modest and lets you judge the result before committing to more. We will tell you plainly if the hours saved will not cover the cost.

Which tools do you use?
Mostly n8n and similar workflow tools, chosen per client rather than by default. They can be self-hosted on your own infrastructure, so your workflows and data stay with you. Nothing we build locks you into a platform you cannot leave.
Can automation include AI without risking mistakes?
Yes, by keeping AI on the drafting side rather than the deciding side. Anywhere money, customers or reputation are involved, the workflow stops at an approval gate and a person confirms before anything is sent or committed. Every step is logged, so you can see what was proposed and who approved it.
We're only 5 people — is this worth it?
It is worth it when the hours saved each month, multiplied by what those hours cost you, comfortably exceeds the build and running cost. Small teams often clear that bar quickly because the same one or two people carry all the admin. If your numbers do not work, we will tell you that in the first conversation.
Do we depend on you afterwards?
No. The workflows, credentials and documentation are yours, and we write them so another engineer can pick them up. Handover is part of the project, not an extra, and you are free to keep us on for changes or not.
